New York University Abu Dhabi (NYUAD) seeks to appoint an Assistant Manager, Institute Academic Programs reporting to the Associate Director, Academic Programs.

The Assistant Manager will be required to help with the overall running of the NYUAD institute, assisting with the academic programming and operational administration relating to Academic Programs

Key Responsibilities:

  • Manage the scheduling of Conference programs (20-25 per AY)
  • Meet with POs to review and advise on program scheduling and logistics
  • Communicate Institute policies and procedures
  • Centralize all program details (logistics, planning) and disseminate information to key stakeholders
  • Provide support (research and data analysis) to the Associate Director of Institute Programs in developing academic programs for the Institute, preparing reports
  • Oversee the reviewing, editing and updating accordingly of all documents related to conference/workshop guidelines
  • On-site program management (registration, communication, travel solutions)
  • Troubleshoot any issues that may arise during the program and resolve them effectively and independently
  • Coordinate with NYUAD Public Safety on campus access and security
  • Coordinate with External Affairs for public programs
  • Manage the NYUAD Institute Archive (digital and physical)
  • Promote Institute programs to the NYUAD Community
  • Collecting data for the post-event debriefing documents
  • Help develop and build links between NYUAD and external scholars and practitioners
  • Process the payment for Academic Programs
  • Oversee the travel booking process for Academic programs
  • Supervise the process between the agents and POs, keep track of special requests and budget approvals for travel, provide training to travel agents when needed
  • Interpret and Implement guidelines (Conference/Workshop Guidelines)
  • Supervise the admin assistant in Archiving all institute documents (payments, contracts, press releases)
  • DCT process for open conference and workshops programs
  • Process and follow up on all post-workshop/conference assessment reports and External Affairs Reports
  • Keep track of academic program information and compile necessary statistics and numbers for the APR


Required Education:

  • Bachelors Degree

Required Experience:

  • Events management
  • Budget management
  • Operational processing
